General Vendor Information

REGULAR REGISTRATION ROUND IS NOW CLOSED.

Apply to have a booth in the 2018 ANAAY Powwow! Please read our Vendor Information Sheet or the Food Vendor Information Sheet below depending on which best applies to you. These contracts will be sent out to the approved vendors and must be returned by the specified date, or the Vendor will risk the forfeiture of their space. Due to the increase in costs this year, we are charging approved Vendors for booth space, and the prices are listed below.  However, we will NOT be charging an application fee. We also will NOT be providing electricity or water hook-ups.

We define “Vendor” as the following:

1. Any person who engages in selling or bartering, or carrying for sale or barter, or exposing therefore, any goods, wares or merchandise, either on foot or from any animal or vehicle.

2. Any person who engages in selling goods, wares and merchandise at a temporary location.

 NOTE: For those wishing to vend food items, we have two categories – Food Trucks and Food Booths. If you are interested in a Food Booth, please fill out the regular vendor application. If you are interested in applying to be a food truck vendor, please email kapiolani.laronal@yale.edu to make arrangements separately.

The Powwow Committee WILL NOT accept Vendor applications outside of these dates. All times are listed in Eastern Standard Time (EST).


Booth Sizes and Cost

There are a variety of booth sizes available at this year’s Powwow. Please see sizing and prices listed below. We are now able to accept Venmo, PayPal and check payments. Payment information will be sent out once accepted. All pricing is in USD.

10 ft by 15 ft – $50.00

2018 FOOD VENDOR INFORMATION SHEET & CONTRACT

All Food Booths and Food Trucks must abide by these rules and regulations at the 2018 Powwow or risk forfeiture of their space.

  1. Products: Food Vendor, and only said Food Vendor, shall sell only the items and/or services at the listed retail price as part of their application and agreement. Note: we will not be providing water or electricity.
  2. Hours of Operation: Food Vendor booths must be fully staffed and open for sales and must remain fully staffed and prepared to serve customers Sunday, October 7, 2018 from 11:30 am to 7:00 pm.
  3. Space Size and Rental Fee: Space rental fee will vary with selected booth size.
    1. 10×10 for $25.00
    2. 10×15 for $50.00
    3. 10×20 for $75.00
  4. Set-Up: Set-Up must be done between 9:00 a.m. and 11:00 a.m. on Sunday, October 7, 2018. Check in with ANAAY representative at a designated “Vendor Check-In” area is required before you can set up.
  5. Conduct: Vendors may not smoke or consume alcoholic beverages within any assigned powwow space, at the Powwow Venue or on Yale University grounds. Vendor must be in suitable attire at all times. Behavior unsuitable for the powwow or which constitutes a public nuisance will not be permitted.
  6. Security: Vendor is responsible for the security of their own property and equipment at all times. The Association of Native Americans at Yale, Yale University and Yale Athletics are not responsible for the loss or damage property belonging to the Vendor or individual.
  7. Agreement Deadline: This contract must be signed and submitted to kapiolani.laronal@yale.edu by the following dates for different registration time periods. Failure to do so by the designated deadline will risk forfeiture of space being held for the booth.
    1. Early Registrants: September 1
    2. Regular Registrants: October 1
  8. Photos: If not completed already in the application, the Food Vendor must send photos of items to be sold and of their booth itself to kapiolani.laronal@yale.edu as soon as possible with the Subject Title: Food Vendor Photos.
  9. Check-In: Upon arrival, check-in with an ANAAY representative at a designated “Vendor Check-In” area is required before you can set up. You or a representative from your booth must attend this meeting in order for you to participate in the powwow. You will be liable for forfeiting your space & fees if this meeting is not attended. You will receive valuable information on booth layout.

2018 VENDOR INFORMATION SHEET & CONTRACT

All Vendors and other non-Food participants must abide by these rules and regulations at the 2018 Powwow or risk forfeiture of their space.

  1. All vendors must abide by rule and regulations set forth by the powwow committee and Yale University.
  2. All vendors and staff must be in appropriate attire at all times during the powwow.
  3. All vendors will only occupy their assigned space and cannot change spaces. If a vendor is occupying another space, the Vendor risks the forfeiture of their space and payment will NOT be refunded.
  4. All booths must be staffed during open hours of the powwow.
  5. Set-Up must be done between 9:00 a.m. and 11:00 a.m. on Sunday, October 7, 2018. Check in with ANAAY representative at a designated “Vendor Check-In” area is required before you can set up. Check in will be from 9 am until 11 am.
  6. Contracts are by invitation only. NO ONE will be allowed to set-up without a signed and submitted contract by the appropriate deadline.
  7. Collection of taxes will be the responsibility of each trader.
  8. Anyone under contract and their staff must abstain from the use of alcohol and/or drugs while on event grounds and Yale University property.
  9. All booths must be set-up by the time grand entry begins at Noon on October 7th, 2018.
  10. Vendors agree to keep booth and surrounding areas clean and free of debris.
  11. The powwow committee reserves the right to ask you to remove any item that they feel to be offensive or inappropriate.
  12. No mass produced items to be sold. No rabbit feet, rubber spears, rubber drums, pink and purple feathers, slingshots, whips, pewter, rodium, plastic hairpipe or beads, or other imported or mass produced items.
  13. Booth fees are as follows:
    1. 10 ft x 10 ft for $25.00 USD
    2. 10 ft x 15 ft for $50.00 USD
    3. 10 ft x 20 ft for $75.00 USD
  14. Registration Dates & Deadlines: 
    1. All vendors must sign/date and complete the Application Form by the listed deadline.
      1. Early Registration Dates:   July 20-August 15
        • Early Registration Deadline: August 15 at 11:59p EST
      2. Regular Registration Dates: August 15-September 15
        • Regular Registration Deadline: September 15 at 11:59p EST
  15. All payments must be made in U.S. Currency by money order, venmo or check. (payments that are returned will automatically cancel your registration for a booth and you will need to re-register during the noted registration periods listed above)
  16. We will not be responsible for holding spaces without payment. Any special circumstances, please contact us at anaayorganization@gmail.com or contact Assistant Director Laronal at kapiolani.laronal@yale.edu.  
  17. Yale University, ANAAY and powwow committee are not liable for lost, stolen or damaged merchandise.
